Managing Customers
The Customers page is the central record for every pool owner and property you service. Here's how to add customers, set up their pools, and get them connected to Poolside.

Adding a customer
Go to Customers in the sidebar and click + Add customer. Fill in:
- Name — the pool owner's full name or business name.
- Address — the property address where the pool is located.
- Email — used for sending service reports and the Poolside invite.
- Phone — for your technicians to call if they can't access the property.
Click Save to create the customer record.
Adding a pool
From the customer record, click + Add pool. You'll need:
- Pool type — chlorine, saltwater, or spa.
- Volume — approximate volume in litres (used as a reference for your techs).
- Gate access — any code, key location, or access instructions your technician needs to get in.
- Warnings — anything that's important to know, e.g. dog on property, low gate clearance, fragile coping tiles.
A customer can have more than one pool — just add each one separately.

Setting up a service plan
On the pool record, click Service plan. Choose:
- Frequency — weekly, fortnightly, or monthly.
- Auto-schedule — toggle this on to have PoolOps automatically create jobs on the correct cadence. Jobs are created 4 weeks in advance and assigned to whichever technician you set as the default for this customer.
With auto-schedule on, you don't need to manually add recurring jobs. You can still move or reassign individual jobs from the Schedule page without affecting the template.
Inviting the pool owner to Poolside
Once the customer record is set up, you can give them visibility into their own service history via the Poolside app. On the customer record, click Send Poolside invite.
PoolOps sends an email to the customer's email address with a unique invite code. When they download Poolside and enter the code, their pool(s) are linked automatically.
Pool owners can see their service reports, chemical readings, and request extra visits — but they cannot see your internal notes or anything from the admin panel.
Editing or archiving a customer
Open the customer record and click Edit to update any details. To remove a customer from your active list, click Archive. Archived customers and their service history are retained but won't appear in your active customer list.
